Version 1.0 · Effective 14 September 2026
Summary: Initial published version of the RENEW SaaS Terms.
RENEW SaaS Terms
Version 1.0 — Effective 2026-09-14
These SaaS Terms govern access to and use of the RENEW platform (the "Service") provided by Cultural Capital Holdings Ltd (company number 17277715, trading as "RENEW", "we", "us"). By accepting these Terms you confirm you have read the RENEW Privacy Notice.
1. The Service
RENEW is a centralised membership editorial platform for museum and heritage organisations, combining magazine content, event listings and membership benefits. The Service is made available to authorised users of an organisation that has a signed Order Form or Free Trial Agreement with us (each a "Customer").
2. Your account and access
You access the Service using credentials managed by our authentication provider. We do not store your password in plaintext. You are responsible for keeping your account secure and for activity under your account. Only authorised users may be invited to a Customer workspace, and access can be revoked at any time.
3. What RENEW may process
To provide and secure the Service, RENEW may process:
- authorised-user account and business-contact information (for example your name, work email and role);
- authentication, security and audit information (such as sign-in events and activity logs);
- publication and workflow materials that you upload to the Service; and
- names, images, biographies, comments or metadata appearing within those materials.
RENEW is not a general-purpose personal-data store and is not intended for member or customer databases, payment-card data, special-category personal data, criminal-offence data, children's data or large-scale personal datasets.
4. Data that requires a separate agreement
Member or customer databases, payment-card data, special-category personal data, criminal-offence data, children's data and large-scale personal datasets may only be uploaded to the Service under a separate written agreement and with appropriate safeguards in place. You must not upload any of these categories without that agreement.
5. Your content
You retain ownership of the publication and workflow materials you upload. You grant us the limited right to host, process and display those materials as necessary to operate the Service for you. You confirm that you have the rights and consents needed to upload the materials and any personal data they contain.
6. Acceptable use
You must use the Service lawfully and must not attempt to access data belonging to another Customer, introduce malware, or use the Service to process data categories prohibited under section 4 without the required agreement.
7. Acceptance of these Terms
You accept these Terms by ticking the acceptance checkbox at sign-up or re-acceptance. If we publish a new version marked as a material change, you will be asked to accept again before continuing to use the Service. Continuing to log in or use the Service after a non-material update does not constitute acceptance of a materially changed version.
8. Order of precedence
The signed Order Form or Free Trial Agreement governs the Customer-specific service. If it conflicts with these general online Terms, the order of precedence stated in the signed agreement applies.
9. Term and termination
Access continues for the term stated in your signed agreement. We may suspend access for non-payment, security reasons or breach. On termination your data is handled in accordance with the Data Processing Addendum.
10. Changes to these Terms
We may publish new versions of these Terms. Material changes will be flagged as such and require re-acceptance. We will not retroactively apply material changes without giving you the opportunity to accept.
11. Contact
Legal and privacy contact details are available on the Legal Centre page.
